FEES AND REFUNDS POLICY
AITAC is entitled to charge fees for items or services provided to students undertaking a course of study. These charges are generally for items such as course materials or text books, use of plant or equipment, student services and training and assessment services.
It is your responsibility to ensure that your chosen course is available. Do not make payments for any product, services or training which is not available.
AITAC always intends to treat all applicants fairly and with integrity at all times. This includes procedures related to refunds, replacement courses, or product returns.
Fees payable
Fees are payable when a student has enrolled. The initial fee payment must be paid prior to commencing training or within a set term of receiving and invoice from AITAC. AITAC may discontinue training if fees are not paid as required. For a full list of current fees and charges please request a copy of AITAC schedule of fees and charges, or information can be accessed from the AITAC website. The fees quoted on the website are nominally charged for attendance at our own premises, and may vary when services are provided on-site.
Students applying for State and/or Commonwealth funding must provide evidence of their eligibility as required and directed. This may include photo id, proof of residency, proof of prior qualifications or course enrolments etc. Failure to provide satisfactory evidence may result in full fees being payable. Students are advised to provide original evidence for eligibility to be determined by AITAC’s delegate on receipt of enrolment application to be considered for funding from any government provider.

Payments
AITAC accepts payment for fees using:
- Credit Card
- PayPal
- AfterPay
- Electronic Funds Transfer (account details available on request)
CORPORATE PAYMENT PLANS
Corporate clients may seek different booking and payment options, including post payment via invoicing against purchase orders, or partial payment with applicant (eg. Payment of regulator licence fee only).
AITAC has several lateral options available to suit most corporate clients, and a simple email request will get the ball rolling.

CANCELLATIONS, RETURNS AND REFUNDS
Transfers
Any change to scheduled services will be notified in writing with as much advance notice as possible. AITAC will contact you by email a minimum of 7 days prior to the course commencement (if time permits), or by phone whenever possible to advise any change to service or requirements. AITAC requests that you respond as soon as possible to any contact so we can confirm the information is passed to you in an appropriate time frame and any of your questions or concerns can be answered individually.
Requests for transfers to alternate programs can be arranged if AITAC is advised, or in writing more than 7 working days prior to the program commencement date and there is availability on the selected program. One transfer will be accepted without charge where AITAC has been notified in writing at least 7 working days prior to the scheduled commencement date. All subsequent transfers will attract an administration charge of $55.00 (incl. GST).
Cancellations
If you have to cancel your enrolment or withdraw part way through a training program you must notify AITAC in writing via email or letter at the soonest opportunity. If you cancel your enrolment within 7 days of the course commencement date or after a training program has commenced you will not be entitled to a full refund of fees. We advise you to consider alternative options such as requesting to suspend enrolment and re-commencing in another scheduled training program.
Where AITAC is unable to commence the course, cancels the course, or ceases to provide courses for any reason beyond the student’s control the student will be transferred to an equivalent course with another RTO wherever possible at no cost. If transfer is not feasible any prepaid fee will be refunded in full to the student. Where possible the enrolled student will be given notification in writing and also by email or phone. AITAC will endeavour to provide a minimum of 7 days’ notice providing circumstances permit, or provide notice as soon as is feasible. Information is available in our Student Handbook.
Training course refunds/returns
Product refunds or Returns will be treated strictly within the legal requirements of Consumer law. We have no responsibility for products or services provided by any other parties linked to the website.
AITAC will arrange refunds or replacement courses based upon the following principles:
1. Tuition Fees will be refunded in full if the selected course does not start, and a suitable replacement course cannot be arranged. Any supplied resources received may still incur a charge, unless returned unused and in prime condition.
2. Tuition fees will be refunded in full if the selected course starts, but cannot be completed due to circumstances related to RTO non-delivery. Replacement course will be offered, if suitable. Any supplied resources received may still incur a charge.
3. Cancellation of the application for a course may incur an administration fee of 25% if not done prior to 7 days of the course commencement date. If a cancellation (or withdrawal) is notified within 3 days of the commencement date, no refund will be allowed (full fee will be charged). Any resources provided will be charged for, and returns cannot be accepted (health / safety issue).
4. If an applicant opts out of a course after commencement, or fails to attend a scheduled class, no refund will be offered. Resources provided cannot be returned for refund.
5. An applicant who breaches the conduct code for students at a course will be ejected from the course and forfeit fees. A breach of this nature may include, but not be limited to, violence, bullying, aggressive behaviour toward any person, attempting to unduly influence the decision of an Assessor, academic fraud. Online training refunds
Additional terms apply to courses with an online training component.
All courses with an Online component are commenced on acceptance of the application, and payment of the applicable fee. Learning materials and the Online Classroom are made available immediately.
Online training courses on the Your Licence and other eLearning platforms are basically an irrevocable supply, and as such AITAC does not issue refunds or store credit once the application is accepted and access to any online course and the support material or downloads is made available.
However, we realise that exceptional circumstance can take place, so we do honour requests for refunds or credit on the following reasons:
- Download issues: It is possible that you could incur problems while downloading the support material for the course (when applicable). Claims regarding such issues must be notified within 3 days. If you do not properly contact us during this period, you agree that we may construe silence as a successful download of the product. Downloads are tracked as part of the course timeframe, and we consider that data as an overriding proof of download. On all occasions we will attempt to get you the correct access to the course you require, so cancellation and refund is always a last resort.
- Incorrect course selection: It may happen that you could inadvertently select the incorrect course. We will always consider a course swap provided the original course has not progressed beyond preliminary stages (sufficient to realize that it is not suitable). On all occasions we will attempt to get you the correct access to the course you require, so cancellation and refund are always a last resort. Claims for partial refund will be negotiated.
Refund process
With regards to processing refunds, please be aware of the following points:
- Any refund due will be paid only to the person or party that made the original payment.
- AITAC does not see your financial details, and cannot refund a Credit or Debit Card directly. This must be done through the financial institution by reversing the original transaction, or by crediting your card. Using the original transaction reference number ensures that the refund goes directly to the original card. This process may sometimes involve the disclosure of further information.
- Any reversal of a transaction can only be to the amount of the original transaction – if 2 courses are paid on separate transactions, then refunds must be handled individually, and cannot be rolled together.
- Similarly, a transaction can only be reversed ONCE. If multiple payments are made on a single card transaction and a partial refund is agreed, no further refund is available against that transaction reference number. If further refunds are identified, they must be treated individually through separate processes.
- Refund may take up to 10 days to complete. Attempts will be made to streamline the process, but there are also delays incurred with transfers between bank accounts.
- A company cheque refund may be issued where suitable to the receiver.
- Under no circumstances will cash refunds be made, regardless of the original method of payment.
- If the original card has expired, been lost, or cancelled by the owner it cannot be used for a refund. Attempts to reverse a transaction will fail. An alternate refund method will be needed.
The above conditions re card refunds are set by the Bank to protect the card owner from fraudulent activity.
Extenuating Circumstances
For “blended training courses” an applicant may have extenuating circumstances that prevent physically attending scheduled course dates. This may include but not be limited to illness, family or personal matters, or other reasons that are out of the ordinary. Where evidence can be provided to support the claims of extenuating circumstances, course fees may either be transferred to the next available course, or a partial refund may apply.
The decision of assessing the claims related to extenuating circumstances rests with AITAC and partners and shall be assessed on a case by case basis.
Transitioning to new qualifications
Where a qualification or unit of competency has undergone changes, according to the transition arrangements you may be transferred to the replacement qualification as soon as practicable. AITAC will inform you of any potential changes to ensure you are not in any way disadvantaged.
Access to your records
You are entitled to have access to your student file and learning and assessment records on request. You may require these to monitor your progress with training or simply to go back and confirm something in a previous training module. Whilst these records will be retained by AITAC, you are welcome to have access anytime – just ask your Trainer/Assessor and it will be organised immediately.
You can access hard copy records and reports from our student management system, but only relating to you personally. You can request this access via your Trainer/Assessor. Access to requested records during a work day will be arranged as soon as possible and definitely within 48 hours.
Students should note that these records cannot be taken away unless a copy is requested. Where photocopies are requested, AITAC reserves the right to charge a one-off photocopy fee of up to $20.00. There is no cost to simply view records at our office.
